Privacy & POPIA
This notice explains how B-Bot Cloud (PTY) LTD, a South African company, processes personal information on b-bot.cloud and on B-Bot's WhatsApp number, in line with the Protection of Personal Information Act (POPIA).
Talking to B-Bot on this website
When you call or message B-Bot here, your voice and messages are processed by our AI voice provider, ElevenLabs, to transcribe what you say and generate spoken replies. The AI model that writes B-Bot's answers runs through that same service.
- We use the conversation to answer your questions and, if you ask us to, to contact you about your enquiry.
- Audio and transcripts are kept for up to 30 days to review quality and improve the service, then deleted.
- Your voice is only sent after you tap the mic and agree to this notice. You can type instead at any time.
- Please don't share ID numbers, banking or card details with B-Bot.
Messaging B-Bot on WhatsApp
If you message B-Bot on WhatsApp, WhatsApp (Meta) delivers your message to us. We use Anthropic's AI service to write B-Bot's reply. We keep the recent conversation, and your WhatsApp name and number, for up to 30 days so B-Bot can follow the conversation, then it is deleted automatically.
Enquiries and leads
If you give B-Bot your name, phone number or email and agree to be contacted, we store those details and a summary of what you need so our team can follow up. The stored copy is deleted after 90 days. The team also receives the details by email, and if you become a customer we keep the records needed to serve you. We don't sell your information or use it for unrelated marketing without your consent.
Who processes information for us
- ElevenLabs (voice and text conversations on the website)
- Anthropic (AI replies on WhatsApp)
- Meta / WhatsApp (delivering WhatsApp messages)
- Cloudflare (hosting and short-term storage of chat memory and leads)
- EmailJS (delivering lead notification emails to our team)
These providers may process information outside South Africa, including in the United States and Europe. We only use providers that protect personal information to a standard comparable to POPIA.
Your rights under POPIA
You may ask to see, correct or delete the personal information we hold about you, object to processing, or withdraw consent. Email sales@b-bot.cloud and we will respond within a reasonable time. You may also lodge a complaint with the Information Regulator of South Africa.
Cookies and storage
The site stores a few preferences in your browser (for example whether you accepted the voice notice and whether sound is on). These never leave your device.
If you accept analytics cookies, we use Google Analytics and Google Ads measurement to count visits and see which ads lead to enquiries. Google receives anonymous usage data such as pages viewed and device type, not your quote form details. If you decline, these cookies are not set. Your choice is stored in your browser and you can clear it at any time.
